Schedule: Monday–Thursday 7:30 a.m.–5:00 p.m., Friday 7:30 a.m.–2:00 p.m. (early Friday finish), but additional hours may be needed to complete office goals.
Location: McKinney, Texas.

About the Role:
Established, growing dental practice in McKinney is seeking an experienced Dental Front Office Manager to lead our front office team and own the business systems that keep the practice running — scheduling, insurance, accounts receivable, recall, patient experience, and growth.

This is a hands-on leadership role, not a desk-only job. You will work directly with the doctor and the team every day: leading the morning huddle, solving problems in real time, coaching front office staff, and turning practice data into action. If you are a Dentrix power user who likes building better systems — including AI and analytics tools — and holding a team to a high standard with a calm, professional hand, this role is for you.

Key Responsibilities:
Front Office Leadership & Daily Operations:
  • Lead, train, schedule, and supervise the front office team; set the standard for professionalism, punctuality, and teamwork.
  • Run the daily schedule for maximum productivity: confirmations, filling openings, managing cancellations and no-shows, and patient flow between front and back office.
  • Lead the morning huddle with production, collections, and schedule priorities for the day.
  • Serve as the first point of escalation for patient concerns — and resolve them.

Dentrix & Practice Systems:
  • Expert-level use of Dentrix: scheduling, treatment planning, billing, claims, reporting, and document management.
  • Maintain clean, accurate data in Dentrix — patient records, insurance plans, fee schedules, and provider settings.
  • Build and maintain front office standard operating procedures (SOPs) in Dentrix-driven workflows.

AI Integration & Practice Technology:
  • Implement and manage Stratus for AI-assisted insurance verification — ensuring eligibility, benefits, and remaining maximums are verified accurately before the appointment, with human quality checks on AI output.
  • Use Dental Intelligence analytics to track production, collections, case acceptance, hygiene reappointment, recall, and new-patient performance — and act on what the data shows.
  • Train the team on new technology, troubleshoot workflow issues, and champion adoption of AI and automation tools that reduce manual work without reducing accuracy.

Human Resources & Team Management:
  • Support recruiting, interviewing, onboarding, and training of front office (and as needed, other) staff.
  • Manage staff schedules, time-off requests, and attendance.
  • Conduct coaching conversations and performance reviews; document performance issues fairly and promptly.
  • Manage and mediate office disputes and workplace conflict professionally and impartially — address issues early, privately, and in writing where appropriate, and escalate to the doctor when needed.
  • Maintain employee records and support compliance with office policies.

Quality Control & Implementation:
  • Own quality control for front office work: audit insurance verifications, claims, treatment-plan estimates, and patient communications for accuracy.
  • Implement new systems, policies, and initiatives from planning through training to follow-up measurement — and verify they actually stick.
  • Support HIPAA, OSHA, and office compliance requirements in all administrative processes.

Patient Experience / Customer Service Optimization:
  • Design and continuously improve the patient experience: phones, check-in, check-out, financial conversations, and follow-up.
  • Monitor and improve patient satisfaction, online reviews, and referral behavior; respond to feedback professionally.
  • Coach the team on communication — clear treatment and cost explanations that build trust and support case acceptance.

Accounts Receivable & Insurance:
  • Manage accounts receivable: monitor aging reports, follow up on outstanding insurance claims and patient balances, and keep AR days and over-90 balances at target.
  • Oversee claims submission, denial follow-up and appeals coordination, and accurate patient estimates before treatment.
  • Work with patients on payment arrangements and financial options in a firm, fair, and respectful manner.

Active Recall & Reactivation:
  • Build and run an active recall plan: recare/hygiene recall, overdue patient reactivation, and unscheduled treatment follow-up, with weekly targets and tracked results.
  • Use Dental Intelligence and Dentrix recall tools to keep the hygiene and doctor schedules full — weeks out, not just tomorrow.

Marketing & Growth Strategy:
  • Develop and execute a practical marketing strategy for new patient growth and patient retention: online presence and reviews, social media, promotions, community and referral outreach.
  • Track marketing results — new patients, sources, and conversion — and report what is working and what is not.
